Venue Sourcing, Contracts & Housing

The fine print is where budgets are won

A hotel or convention center contract decides more about your event's finances than almost anything that happens on-site. Attrition, food-and-beverage minimums, cancellation terms, concessions, and the gap between the rooms you commit to and the rooms you actually fill. We've negotiated and managed these at national scale, and we know where the risk hides.

What we handle

  • City and venue RFPs and side-by-side proposal analysis

  • Contract negotiation: attrition, F&B minimums, cancellation, force majeure, concessions and rebates

  • Room-block sizing based on real pickup history, not guesses

  • Multi-hotel housing management and attendee booking

  • Pickup tracking and mid-cycle block adjustments

  • Post-event audits to recover what you're owed

Available on its own. Many organizations plan their events in-house but bring us in for sourcing, contracts and housing. It's often the highest-return hour of help an event budget can buy.

At our largest: 3,700 attendees, 6,800+ room nights across 12 hotels.
